Privacy Policy

This notice explains how Tabare AI handles information on its website and coaching app. Send questions, access, correction or deletion requests to the product team through Contact. You do not need an account to submit a request.
What we collect
- Account and purchase information: access code, name and email when provided, plan, subscription identifiers, entitlement dates and usage counts. These run your membership, deliver access emails and enforce allowances. Whop handles checkout; our app does not collect full payment-card numbers.
- Chats and coaching: your questions, AI answers, intake answers, saved conversations, derived memory summaries, practice scenarios, feedback and progress. These support history and personalized coaching.
- Calls made in the app: ElevenLabs records and transcribes calls. We store transcripts, summaries, call identifiers and minutes used. Call text can also contribute to chat history and memory. We may cache audio when you replay it.
- Calls submitted for review: we process the transcript you submit, including from a Fathom share link, and store a transcript copy until the scheduled 30-day cleanup. The review, source link and excerpts in review/chat output can remain after the raw transcript copy is cleared.
- Pipeline and uploads: saved properties, contacts, notes and files attached to leads. Attachments are stored privately and served through authorized temporary links. Only submit information you have the right to share.
- Eligibility and permissions: your age group, policy version and acceptance date. For ages 13–17, we also store guardian email, name, approval/revocation dates and hashed approval-link credentials to control access and document permission. We do not request a full date of birth.
- Support and technical records: reports and contact details you submit, request logs, errors and security/usage records. Hosting providers receive connection information such as IP addresses. Our rate-limit storage uses keyed digests rather than raw IP addresses or access codes.
Who receives information
Authorized administrators can review conversations, calls, coaching records, usage and requests for coaching, support and service administration. Other members cannot access your private account records. Do not submit passwords, payment-card details or unnecessary sensitive information.
Providers include Supabase (database/files), Vercel (hosting), Anthropic (AI answers, reviews and summaries), Voyage AI (retrieval embeddings), ElevenLabs (voice, calls, recording and transcription), Apify and listing sources (property research), Fathom (share links you submit), Resend (service emails), Whop (purchases/subscriptions), and map providers such as OpenStreetMap. The feature you use determines which prompts, context, recordings, files or property details the relevant provider receives. Providers may process information in the United States or other countries under their applicable terms and retention practices.
We do not sell personal information or run session replay in the Tabare AI app. Fonts are served from our site. Essential browser storage saves login, preferences, conversations and app state. Whop’s separate checkout has its own privacy practices. We may disclose information as required by law or to address fraud, security and legal claims. Copyright reports and counter-notices may be shared with affected parties to handle disputes.
Retention
- Submitted-review transcripts: daily cleanup clears raw copies older than 30 days. Failures may delay cleanup; the job reports failures for retry. This does not clear saved review output or transcripts of calls made in the app.
- Cached voice audio: our copy is eligible for eviction once the call is older than 30 days. This does not delete the provider’s original. Replaying an older call can retrieve and cache it again.
- Account content: chats, memory, leads, uploads, coaching records, voice-call transcripts and provider recordings generally remain until removed through available controls or a verified deletion request. There is no general 30-day expiry for all account content.
- Operational/legal records: billing/usage, permission evidence, security records and dispute correspondence are retained as needed to operate the service, document consent, meet legal obligations and resolve disputes. Deleting content does not reverse used minutes. Provider backups and legally required copies may persist beyond active-system deletion.
Your controls
- Delete a conversation: its delete control removes the local thread and matching chat history. Derived memory is cleared for rebuilding from remaining history. Separate call records, reviews and files have separate controls.
- Wipe memory: Settings clears chat history, derived memory and coaching/practice records. It does not delete the entire account, leads, uploads, separate call records, billing or permission evidence.
- Delete a call: the history control requests removal of the provider recording and cached audio, then removes the app transcript, summary, linked chat memory and associated practice record. An error means deletion was not confirmed; retry or contact support. Billing records remain.
- Delete leads/files: use their pipeline controls. Retry or contact support if deletion fails; a local screen change does not prove removal of every provider copy.
- Request access, correction or account deletion: select “Privacy or data deletion” in Contact. We may verify identity or guardian authority before disclosing or deleting data and will explain any required retention.
- Guardian approval: the private approval email link can withdraw permission. New app requests and AI voice turns are blocked, but withdrawal does not delete records or cancel billing. Guardians can submit further requests through Contact.
- Cancel payments separately: manage your membership in Whop orders. Signing out, uninstalling, deleting data or withdrawing approval does not cancel a subscription.
Children and updates
Children under 13 may not use Tabare AI. Ages 13–17 require approval from a parent or legal guardian through a private email link. Contact us if you believe we hold information from a child under 13 so we can investigate, restrict access and address deletion. Do not include sensitive details in the initial report.
The date above identifies this version. Material changes to required app permissions require renewed acceptance and, for minors, renewed guardian approval.
